Your data, and how Guaide handles it.

This Privacy Policy explains how Guaide (“Guaide,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Guaide application for Shopify, the getguaide.com website, and the mobile assembly guides that consumers reach by scanning a QR code or link (together, the “Service”).

Guaide plays two roles depending on the data. For information about a merchant’s own account and use of the app, Guaide is the data controller. For a merchant’s customers — the people who register a warranty or view a guide — the merchant is the controller and Guaide acts as a processor, handling that data on the merchant’s behalf and under their instructions.

1. Information we collect

From merchants when you install and use the app:

  • Account and store details: your Shopify store domain, the email address associated with your Guaide access, your selected plan, and subscription status.
  • Product data pulled from Shopify at your direction: the products you choose to import (product titles, images, handles, and Shopify product identifiers). We import only the products you select — not your entire catalog.
  • Content you upload: product manuals, PDFs, photos, and videos you provide so we can generate assembly guides, along with the steps, edits, and approvals you make while reviewing them.

From consumers (your customers) when they use a published guide:

  • Warranty registrations: the name and email address a customer submits at the end of a guide, and an optional order identifier.
  • Usage and scan analytics: which guide was opened, how far through the steps a visitor progressed, whether they completed assembly, coarse country-level location derived from the network request, and timestamps. This is used to give merchants step-level drop-off insight.
  • Email preferences: addresses that have unsubscribed from Guaide emails, so we can honor those choices.

Automatically, for security and operation of the Service: session identifiers used to keep you signed in, standard server logs (such as IP address, request metadata, and error information), and similar technical data.

2. How we use information

We use the information above to:

  • Provide, operate, and secure the Service — including generating step-by-step guides from the manuals you upload, hosting the consumer-facing guides, and generating QR codes.
  • Give merchants analytics on scans, completion, and warranty capture.
  • Send transactional emails — for example, a guide-delivery email, a warranty confirmation, or a sign-in link.
  • Process billing through Shopify and manage plan limits.
  • Detect, prevent, and respond to fraud, abuse, security incidents, and technical problems.
  • Improve the Service and develop new features.
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell personal information, and we do not use consumer warranty data for our own advertising.

3. AI processing of your content

Guaide uses a third-party large-language-model provider (Anthropic) to read the manuals, photos, and videos you upload and to draft the assembly steps. This content is sent to the provider solely to produce your guide. AI-generated steps are drafts: nothing is published to consumers until you review the content and approve anything the system flags as uncertain.

The AI provider processes your content to return results to us and does not use it to train its models under the terms on which we use its API. We do not include a merchant’s customers’ personal information (such as warranty names or emails) in AI processing.

4. How we share information

We share information only as described here:

  • Service providers (sub-processors) who help us run the Service, under contracts that limit their use of the data: Amazon Web Services (cloud hosting, storage, database, and email delivery), Anthropic (AI generation of guide steps), and Shopify (the platform through which the app is installed and billed).
  • With the merchant: a consumer’s warranty registration and scan analytics are made available to the merchant whose product the guide belongs to — they are the controller of that data.
  • Legal and safety: when required by law, subpoena, or governmental request, or to protect the rights, property, or safety of Guaide, our users, or the public.
  • Business transfers: if Guaide is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

5. Emails and opt-out

Guide-delivery and warranty-confirmation emails include an unsubscribe link, and we maintain a suppression list so that anyone who unsubscribes stops receiving those messages. Account-security emails, such as a sign-in link, are essential to using your account and are not subject to unsubscribe.

Merchants are responsible for having a lawful basis (such as the customer relationship or consent) to send guides to their customers via Guaide.

6. Data retention

We retain merchant account data for as long as the app is installed and your account is active, and for a limited period afterward as needed to meet legal, accounting, or security obligations. Uploaded source manuals are stored on a rolling lifecycle and are automatically expired after 90 days once processing is complete.

Consumer data is retained for as long as the merchant uses the Service to hold it, subject to the merchant’s instructions. When a merchant uninstalls the app, or when we receive a valid deletion request through Shopify’s mandatory compliance webhooks, we delete or de-identify the associated data in line with those requests.

7. Security

We protect data with industry-standard safeguards, including encryption in transit (TLS) and encryption at rest for our databases and object storage using managed keys, network isolation between environments, least-privilege access controls, and separation of staging and production data.

No method of transmission or storage is completely secure, but we work to protect your information and to promptly address vulnerabilities we become aware of.

8. International data transfers

The Service is hosted in the United States (AWS, US East region). If you access the Service from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those in your country. Where required, we rely on appropriate safeguards for such transfers.

9. Your rights

Depending on where you live, you may have rights under laws such as the EU/UK GDPR and the California Consumer Privacy Act, including the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to opt out of certain uses. We do not sell personal information or share it for cross-context behavioral advertising.

Merchants can exercise these rights, and manage their customers’ requests, by contacting us at admin@getguaide.com. If you are a consumer whose data a merchant holds through Guaide, please contact that merchant first; you may also contact us and we will assist the merchant in responding. We will not discriminate against you for exercising your rights.

10. Cookies and tracking

Guaide uses a small number of strictly necessary cookies and similar technologies to keep merchants signed in and to operate the app inside Shopify admin. The consumer-facing guides use minimal technical storage to remember progress and to record anonymous scan analytics. We do not use third-party advertising or cross-site tracking cookies.

11. Children

The Service is intended for businesses and their adult customers. It is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.

12. Changes to this Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
